Cancellation & Refund Policy

Life happens — flights change, plans move. This page explains how cancellations work, what is refundable, and how quickly money comes back to you. Your written quotation always states the exact terms for your trip; where it differs from this page, the quotation prevails.

1. How to cancel

Send us your cancellation in writing (email or WhatsApp) from the contact used for the booking. The cancellation takes effect on the day we acknowledge receiving it, and charges are calculated from that date against your departure date.

2. Standard cancellation charges

Unless your quotation states otherwise, the following guideline charges apply, calculated on the total trip price:

  • 45 days or more before departure — loss of deposit only
  • 44–30 days — 25% of the trip price
  • 29–15 days — 50% of the trip price
  • 14–7 days — 75% of the trip price
  • Under 7 days, or no-show — 100% of the trip price
Where suppliers' own terms are stricter (see below), those amounts are added to the charge for the affected component.

3. Non-refundable components

Some components are non-refundable from the moment they are issued or paid, regardless of notice period, because their providers do not refund us: flight and train tickets; Bhutan visa fees and the Sustainable Development Fee; national-park, safari and monument permits; festival-period and peak-season hotel deposits; and any component identified as non-refundable in your quotation. We always tell you before committing to a non-refundable component.

4. Changing instead of cancelling

A postponement is often cheaper than a cancellation — many partners let us move dates for a small fee or none, especially with good notice. Talk to us before cancelling and we will lay out the options. A reduction in party size or trip length is treated by suppliers as a partial cancellation of the affected services.

5. Unused services

No refund is payable for services voluntarily unused during the trip — for example skipped nights, missed transfers, or leaving early — though we will always try to recover what we can from suppliers on your behalf.

6. If we cancel

If we must cancel your confirmed trip for reasons within our control, you choose between a full refund of all amounts paid to us or an alternative trip of comparable value. This does not apply to force majeure (below), where we refund everything recoverable from suppliers and re-plan with you at cost.

7. Force majeure

Where a trip is disrupted by events beyond anyone's control — natural disaster, severe weather, epidemics, strikes, civil unrest, border or government action — we will help you re-route, postpone or claim on insurance, and pass back every refund suppliers give us. We cannot ourselves refund amounts that suppliers withhold in these events, which is one reason comprehensive travel insurance with cancellation cover is strongly recommended for every booking.

8. Refund processing

Approved refunds are processed within 7–14 business days to the original payment method. Banks and card networks may take additional days to credit your account. Refunds are made in the currency of payment; we are not responsible for differences arising from exchange-rate movements or bank charges.
